Volunteer Requirements
Swim meets simply cannot run without volunteers, and every Stingray family plays an essential role in making our season successful. Each family is required to work a set number of volunteer shifts—typically three per season, with fewer required for families who only have high school swimmers. The exact number of shifts is determined once registration is finalized.
Because volunteer participation is a core part of how our team operates, families who are unwilling to volunteer or participate in the volunteer buy‑out are not a good fit for the Stingrays. Each year we have a waiting list of swimmers eager to join, and we need to reserve roster spots for families who are ready to contribute.

If you are unable to work a shift you’ve selected, it is your responsibility to trade with another family or find a replacement. A no‑show to a volunteer position will result in a $175 fine.
Wilshire Farms is also required to provide volunteers at the Championship Meet. You may choose a Champs shift during sign‑ups; the specific roles assigned to WF will be announced in late June.
Volunteer opportunities are available at every meet, along with a few non‑meet roles throughout the season.

Volunteer sign‑ups are completed electronically through Swimtopia in the spring.

- Click the Jobs tab.
- Choose the role you’d like and sign up.
Volunteer Commitment Policy
All families must volunteer for the required number of shifts or participate in the volunteer buy out. You must register for your shifts before the start of the season or your child will not be allowed to swim in meets until you are signed up. If you have not fulfilled your volunteer requirement at the end of the season, your child will not be able to register the following season.
The fine for no-showing to a volunteer role is $175.
Volunteering Roles & Descriptions
All Meets:
- Assistant Clerk of the Course – Organize all swimmers by lane and heat on deck before they step onto blocks. You must attend a volunteer meeting at 5:10 pm.
- Team Parent – Organizes swimmers by gender, age, lane, and heat in team area. Families with 8 & Under Swimmers are asked to serve as Team Parent during one meet. You must attend a volunteer meeting at 5:10 pm.
- Timer – Time and record results every event with two others per lane. You must attend a volunteer meeting at 5:10 pm.
- Floating Volunteer- work with team managers and/or volunteer coordinators to ensure that all meet tasks and responsibilities are covered. You may fill in for other roles to provide 10 minute breaks. In some cases, you may be tapped to fill in another assigned role. Must contact volunteer coordinator to be eligible to work this position. (1 assignment per family per season)
- Stroke and Turn Judge* -- Evaluates swimmers to insure that strokes and turns for the event are being performed in accordance with SSA rules. Prior Training Required. You must attend a volunteer meeting at 5:15 pm.
- SSA Representative -- Member of the SSA at the meet.
Home Meets:
- Clerk of the Course – Organizes all swimmers by lane and heat on deck before they step on blocks. You must attend a volunteer meeting at 5:10 pm.
- Hospitality – Distribute water/snacks to volunteers once every 30 minutes.
- Runner – Collect timer sheets after every event. Collect S&T judges' DQ sheets. Deliver sheets to computer table.
- Data Entry – Read times to Computer Operator to enter. Must contact volunteer coordinator to be eligible to work this position.
- Scorekeeper – Find median number of three times on time sheets for data entry. Verify disqualification slips. This job ends when all the time sheets and DQ sheets have been verified, often at least 30 minutes after the final race. Must contact volunteer coordinator to be eligible to work this position.
- Heat Winner Ribbon Worker – Distribute heat winner ribbons after 10 & under and 8 & under individual races.
- Computer Operator*-- Enter race times, generate reports, and print ribbon labels using team computer. Prior Training Required. This job ends when all the time sheets and DQ slips have been verified, often at least 30 minutes after the final race.
- Starter*-- Announces events and starts races. Prior Training Required. Must contact volunteer coordinator to be eligible to work this position.
- Assistant Starter*-- Update flip chart, keep track of events and heats, communicate between Clerk of Course and Starter about combined heats and scratches. Must contact volunteer coordinator to be eligible to work this position.
- Concessions-- Work in clubhouse selling snacks and drinks. Set up/tear down/clean concessions area, as needed.
- Set Up & Tear Down-- Help unload necessary items, carry to deck and continue to set up. Return speakers, microphone in computer room. Some tasks include: stacking chairs, setting up/tearing down tables, setting up/tearing down tents, setting up and testing speakers, checking bathrooms for toilet paper, paper towels, emptying trash, etc.
- Safety Marshall -- Ensures safety on pool deck and crash areas. Maintains walking lane for swimmers, timers, judges, and runners. This job requires a lot of walking. (1 assignment per family per season)
Away Meets:
- Scoring Verifier – Compare and confirm accuracy of computer data to timer sheets in verify accuracy. This job ends when all the time sheets and DQ slips have been verified, often at least 30 minutes after the final race. Must contact volunteer coordinator to be eligible to work this position.
